What Is a Plan?
A plan is a recurring membership — for example, a monthly hot desk pass or a dedicated desk subscription. Members subscribe to a plan and are billed automatically on a set schedule.
Creating a Plan
- Go to Inventory → Plans
- Click Create plan
- Fill in:
- Name — e.g., "Hot Desk Monthly", "Dedicated Desk Annual"
- Location — which site this plan belongs to
- Resource Type — the type of space covered: Dedicated Desk, Hot Desk, Office, or Other
- Price — the recurring charge
- Billing cycle — Weekly, Monthly, or Yearly
- Access to meeting rooms — Limited (counts against any meeting room allowance) or Free (unlimited access)
- Visibility — Public (shown on portal) or Hidden (secret link only)
- Require Confirmation — whether subscriptions need manual approval
- Save
Resource Type
Setting a Resource Type tells members what kind of access the plan covers. It does not reserve a specific individual desk or office — it defines the category. If members need a specific dedicated desk assigned, do that from the member's subscription once created.
Annual Plans
For annual billing, set the cycle to Yearly. The member is charged once a year. The first invoice is still prorated if they join mid-cycle — see the How Prorata Billing Works guide.
Editing a Plan
You can edit a plan's name, description, and price at any time. Price changes apply to new subscriptions only — existing members continue at the rate they originally subscribed to.
Deleting a Plan
Deleting a plan prevents new members from subscribing to it. Existing subscriptions on that plan continue until cancelled.
Common Questions
Can I offer a free trial? Not directly from plan settings. You can create a plan at €0 for a trial period and then manually switch the member to the paid plan when the trial ends.
Can I have different prices for different locations? Yes — create separate plans per location and set the appropriate price for each.
